StoryVid LLC ("StoryVid," "we," "us," "our") is a limited liability company with its principal offices at 212 N. 2nd Street, STE 100, Richmond, KY 40475, USA. This Privacy Policy applies to storyvid.com, its subdomains, our client portal, and related online properties (collectively, the "Services").
1. Scope
1.1 This Privacy Policy describes how we collect, use, disclose, and protect Personal Information in connection with the Services.1.2 If you have a signed Production Agreement, Statement of Work ("SOW"), Data Processing Addendum ("DPA"), or other contract with StoryVid, those documents govern to the extent of any conflict with this Policy.1.3 This Policy applies to visitors, business contacts, clients, prospective clients, vendors, talent, and job applicants. We do not intentionally market to or collect data from children (see §10).
2. Definitions
2.1 Personal Information means information that identifies, relates to, describes, or could reasonably be linked with an individual or household.
2.2 Sensitive Personal Information ("SPI") includes government IDs, financial account credentials, precise geolocation, racial/ethnic origin, biometric identifiers, health data, and the contents of communications not directed to us.
2.3 Processing means any operation performed on Personal Information, such as collection, storage, use, disclosure, or deletion.
2.4 Controller/Processor have the meanings given under GDPR. StoryVid is generally a controller for our website and marketing activities, and may act as a processor where we host or process client-provided data under an SOW/DPA.
3. Notice at Collection (CA/CO/CT/VA and similar laws)
3.1 Categories Collected: Identifiers (name, email, phone, IP, device IDs); professional and employment info (company, role); commercial info (quotes, invoices, transaction history); internet/electronic activity (usage, analytics, cookie IDs, session data, referring URLs); audio/visual (recordings from meetings where disclosed; talent release artifacts); geolocation (approximate from IP); inferences (audience segments for B2B ads); limited payment info (card last4 via processor). We do not collect Social Security numbers.
3.2 Sources: You (forms, emails, uploads, meetings), your organization, our service providers, referral/affiliate partners, ad/analytics platforms, publicly available sources.
3.3 Purposes: Provide and secure Services; run productions (pre‑production, principal photography, post‑production, delivery); account administration; billing; analytics; service improvement; B2B marketing/retargeting; compliance; fraud prevention.
3.4 Retention: We retain PI as long as reasonably necessary for the purposes in §3.3, including legal and tax requirements (often 7 years for billing records), dispute resolution, and enforcing agreements.
3.5 Sale/Share: We do not sell PI for money. We may share identifiers and usage data with advertising partners for cross‑context behavioral advertising as defined by some state laws. See opt‑out (§9.4).
3.6 Required Disclosures: We may disclose PI to service providers, advisors, law enforcement (as required), prospective acquirers/investors, and parties to transactions (see §7).
4. Information We Collect
4.1 You Provide: contact details; company information; creative briefs; project files (scripts, storyboards, call sheets, talent/location info); preferences; survey responses; support requests; resumes/portfolios; contracts and signatures.
4.2 Automatically: IP address, device/browser type, OS, timestamps, session logs, pages viewed, scroll/click data, crash logs, performance metrics, cookie IDs, pixel tags, and similar telemetry.
4.3 From Third Parties: lead gen partners, affiliate/referral tracking, social platforms (when you engage with our pages), enrichment providers (business contact info), payment processors, and clients who add you as a collaborator.
4.4 Sensitive Data: Generally avoided. If a production requires SPI (e.g., legal names on talent releases, union paperwork, medical consent at a location), we limit processing, minimize retention, and apply added safeguards.
5. Cookies, Pixels, and Similar Technologies
5.1 We use first‑party and third‑party cookies/pixels for: (a) essential operations and security; (b) analytics/performance; (c) personalization; (d) advertising/retargeting.
5.2 You can manage cookies via browser settings and our cookie banner. Blocking certain cookies may degrade functionality.
5.3 Industry opt‑outs (e.g., DAA/NAI) and platform controls (Google, Meta, LinkedIn) may reduce targeted ads.
5.4 "Do Not Track" signals are not standardized; we treat browser signals in accordance with applicable law and honor recognized opt‑out preference signals where required.
6. How We Use Personal Information
6.1 Provide, operate, secure, and improve the Services and client portal.
6.2 Execute productions (creative development, casting, location sourcing, principal photography, dailies, post‑production, QC, mezzanine masters, delivery).
6.3 Authenticate users; prevent fraud and abuse; ensure brand and platform compliance.
6.4 Communicate about quotes, SOWs, change orders, invoices, deliverables, and support.
6.5 Conduct analytics, A/B testing, and service diagnostics.
6.6 Run B2B marketing and retargeting within lawful bounds; measure campaign performance.
6.7 Comply with legal obligations; establish, exercise, or defend legal claims.
7. How We Disclose Personal Information
7.1 Service Providers/Processors: hosting, storage, project management, file delivery (e.g., review links, asset libraries), communications, analytics, payment processing, recruiting, and advertising. These parties are bound by contract to use PI only as instructed.
7.2 Professional Advisors/Auditors and Insurers (e.g., E&O, general liability) under confidentiality.
7.3 Business Transfers: in mergers, acquisitions, financings, or asset sales.
7.4 Legal/Safety: to comply with law, lawful requests, or to protect rights, property, safety, or enforce agreements.
7.5 Clients/Collaborators: where your organization adds you to a project, or attribution/credit is part of the engagement.
7.6 Aggregated/De‑identified Data: we may use/share de‑identified analytics not reasonably capable of re‑identifying an individual. We commit to maintaining de‑identification and not re‑identifying.
8. Data Security
8.1 We implement administrative, technical, and physical safeguards proportionate to risk (e.g., access controls, encryption in transit, least‑privilege, regular updates).
8.2 No system is perfectly secure; transmission is at your own risk. In the event of a breach affecting your PI, we will notify you in accordance with applicable law.
9. Your Choices and Rights
9.1 Marketing: You can unsubscribe from marketing emails via the footer link. Transactional emails (e.g., invoices, project notices) will still be sent.
9.2 Cookie Controls: Use browser settings and our banner to manage preferences.
9.3 State Privacy Rights: Depending on your state, you may request: access/know, correction, deletion, portability, and to opt‑out of sales/sharing/targeted ads. Submit requests to dataprivacy@storyvid.com. We will verify your identity and respond within the statutory timeline (typically 45 days; we may extend once by 45 days). Appeals instructions will be included if we deny your request. Authorized agents may submit requests subject to verification.
9.4 Do Not Sell/Share: Where required, we provide a "Do Not Sell or Share My Personal Information" link or banner option and honor recognized opt‑out signals.
10. Children
10.1 Our Services target business users and are not directed to children under 13 (or under 16 where applicable). We do not knowingly collect PI from children. If you believe a child provided PI, contact us to delete it.
11. International Users; Cross‑Border Transfers
11.1 We are U.S.‑based. If you access from outside the U.S., your PI may be transferred to and processed in the U.S. and other jurisdictions with different data protection laws.
11.2 Where required, we use appropriate safeguards (e.g., Standard Contractual Clauses) for transfers and will implement supplementary measures as necessary.
12. GDPR/UK Data Protection (if applicable)
12.1 Legal Bases: performance of a contract; legitimate interests (service improvement, B2B marketing to corporate subscribers, security); consent (where required); legal obligation.
12.2 Your Rights: access, rectification, erasure, restriction, objection, portability, and withdrawal of consent. Contact dataprivacy@storyvid.com. You may lodge a complaint with your local supervisory authority.
12.3 Controller/Processor: For our website/marketing we act as controller. For client content we may act as processor under a DPA; in that case the client is the controller.
13. Retention
13.1 We retain PI only as long as necessary for the purposes described, including legal, accounting, and reporting requirements, and to enforce rights. When no longer needed, we delete or de‑identify PI.
14. Third‑Party Links and Embeds
14.1 Our Services may link to or embed third‑party sites (e.g., video players, forms). Their privacy practices are their own; review their policies.
15. Changes to This Policy
15.1 We may update this Policy from time to time. The "Effective Date" will change accordingly. If changes are material, we will provide additional notice as required by law.
